Collection of personal information

This notice is to advise of the collection and retention of your personal information by DEC-UAV Pty Ltd trading as FlyFreely. You may contact FlyFreely in relation to this Data Collection Notice (‘DCN’) by sending an email to privacy@flyfreely.io

Facts and circumstances of collection

We collect personal information directly from you (application forms, CVs, interviews) and from third parties you authorise, including referees, background-check and work-eligibility services. If you apply via our website/app, device and usage data may be collected by your browser or device. We may also receive information from third parties you interact with (e.g., identity-verification providers). If we receive information about you from another source, we will take reasonable steps to notify you of that collection as soon as practicable.

If collection is required or authorised by law

Where checks are required or authorised by law (e.g., right-to-work, taxation, aviation or safety compliance), the requirement will be identified at the relevant step and the law named where practicable.

Purposes of collection

The purpose for the collection of your personal information includes, but is not limited to:

  • Assess your application and determine your suitability for the advertised role against the position description, role requirements, restrictions, and selection criteria;
  • Perform workforce screening, including the verification of your identity, qualifications (MyeQuals), work experience, skills, and work-eligibility;
  • Communicate with referees to verify that supplied written references are accurate and reflective of your nominated referees opinion;
  • Obtain an Australia Federal Police - National Police Certificate (National Police Check) to ensure you are a fit and proper person; and
  • If Successful:
    • Prepare written employment/engagement contracts, company onboarding, and systems provisioning and access;
  • If Unsuccessful:
    • Advise of the unsuccessful outcome of the employment/engagement process.

Consequences if information is not provided

If you do not provide requested information, we will be unable to:

  • Assess your application or suitability;
  • Verify your identity, qualifications, or work-eligibility;
  • Contact your referees; or
  • Proceed with preparation of employment or engagement contracts, company onboarding, or systems provisioning and access.

Usual disclosures

We usually disclose personal information to:

  • Referees that you have nominated as part of your application;
  • Verification/background-check services that you authorise in the course of submitting your application;
  • IT and cloud providers supporting recruitment systems;
  • Our group companies involved in recruitment; and
  • Professional advisers where reasonably necessary.

Cross-border disclosure

Some service providers that host or support our systems are located outside Australia. However, we may only disclose personal information overseas where we reasonably believe that the recipient is in a jurisdiction that is subject to comparable safeguards under applicable privacy laws, or where you give express authorisation after being informed that those privacy protections may not apply. We use contractual safeguards consistent with regulator guidance, and adhere to data sovereignty contractual requirements in our enterprise and regulator agreements, where applicable.

Security and retention

We take reasonable safeguards to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure, and we retain it only as long as needed for the purposes of collection (see list above). Access, correction and complaints

FlyFreely is responsible for collecting and holding your information.
